The Department of Planning is accepting applications for the position of: ADMINISTRATIVE ASSISTANT II-PLANNING.  Position is open for applications until January 1st, 2019.

GENERAL DESCRIPTION:  This is an entry level position which will provide a full range of administrative support for the Department of Planning, including preparation and follow up with proceedings of the Planning Commission/Platting Board/Historic Preservation Committee and other outreach support for the Department.

EXAMPLES OF WORK:   Provides general administrative support for the department.  Receives the public and answers questions; responds to inquiries and refers, when necessary, to appropriate person.  Assists with preparation of public meetings, drafts agenda, drafts minutes, posts notices, and prepares packets.  Directs and coordinates all communications for the department.  Maintains, searches, and assembles detailed files and records.  Assists with annual reports and travel arrangements; compiling budget information and lease preparation.

KNOWLEDGE, SKILLS AND ABILITIES:  Must be able to perform routine office tasks with moderate supervision.  Must be able to communicate with City employees, including department Directors, local and state elected officials, vendors, consultants, and other professional representatives, as well as inquiries from public.  Must be computer proficient in a Windows environment.  Moderate to high level of keyboarding skills.  Working knowledge of office practices, procedures, and equipment.  Ability to use multi-line telephone system and City wide purchasing/requisitioning software.  Must have excellent organizational and communication skills.  Ability to follow oral and written instructions accurately.  Ability to work with deadlines, and interruptions.  The ability to learn rules, policies, procedures, and terminology used in public government office environment.  Ability to learn and operate large map/plat scanning and printing as well as the ability to learn and operate web-based mapping systems.  Ability to maintain confidentiality and security required. 

EDUCATION AND EXPERIENCE:  Minimum high school diploma/GED. Minimum of 2 years work in a professional office environment.  Prior experience working in the public sector and/or planning and zoning field preferred. 

LICENSES AND SPECIAL REQUIREMENTS:   Position is subject to pre-employment drug and alcohol testing.  Valid Alaska driver’s license or ability to obtain one within 90 days.

Union Position: $20.71- $21.55 per hour                        Full-Time Position
