POSITION HIRING RANGE: Level I $36.30 - $39.92/hr | Level II $39.19 - $43.12/hr
POSITION SALARY RANGE: Level I $36.30 - $50.82/hr | Level II $39.19 - $54.87/hr
The City of Unalaska is accepting applications for the Executive Assistant position in the Office of the City Manager. Located in the central Aleutian Islands, Unalaska, Alaska, is a multicultural coastal community of approximately 4,250 full-time residents and is home to the number one commercial fishing port in the United States, the International Port of Dutch Harbor.
The following duties are not intended to serve as a comprehensive list of all duties performed by employees in this classification. The duties shown are designed to provide a representative summary.
GENERAL DESCRIPTION: This position is responsible for administrative and operational support, working directly under the supervision of the City Manager, providing support to the City Manager, the Mayor, and the City Council.
KNOWLEDGE, SKILLS & ABILITIES: This position requires a highly organized and proactive administrative professional who excels at problem-solving and keeping things running smoothly. The candidate must also have excellent communication and interpersonal skills and be capable of handling a variety of tasks, adapting to changing needs, and working effectively with all levels of our organization.
• Provides first-line customer service and support for the City Manager’s office by handling requests for information and resolving customer questions and concerns; and communicates with city attorneys, lobbyists, consultants, and other officials from local, state, federal, and international organizations.
• Coordinates, compiles, and distributes various reports, including the employee newsletter, monthly department reports, annual assessment of city services, and the community profile.
• Prepares first drafts, composes correspondence, and edits materials and documentation; generates purchase orders and payment authorizations.
• Plans and coordinates special events for the City, including the annual employee holiday celebration, receptions, banquets, dedication ceremonies, legislative lobbying trips and fly-ins, the community fireworks displays, etc.
• Proactively manages the City Manager’s calendar and anticipates when events, situations, and issues will necessitate changes.
• Coordinates travel for the City Manager, Mayor, and City Council for trips to conferences, meetings, and other events.
• Assists with the annual budget preparation, including coordination across departments.
• Conducts research and analysis and makes recommendations in support of the work done in the department.
• Administers the city website, social media pages, and press releases.
• Coordinates advertising for the City; janitorial contracts for all City departments and monitors contract implementation for City Hall; and coordinates copier repair and maintenance across all City departments.
The successful candidate must be adept at working with diverse audiences, anticipating needs of the City Manager, managing deadlines, and adapting to changing priorities. The role requires strong written and verbal communication skills, adherence to confidentiality, and strong organizational and prioritization skills.
EDUCATION & EXPERIENCE:
• A minimum high school diploma/GED and at least two (2) years of working in an administrative support capacity
• Proficient with MS Office Suite and software consistent for the position level
• Prior experience working in the public sector is preferred
LICENSES & SPECIAL REQUIREMENTS:
• Must have, or be able to obtain, an Alaska Driver’s License within 90 days of hire
• Ability to pass all required pre-employment testing, i.e., criminal background, history, and drug testing
• Must be eligible to work in the US; required under Federal Law, if hired, must complete an employment eligibility verification form (I-9)
