POSITION: Administrative Assistant II
SALARY: $20.69-$25.86+
The City of Unalaska is accepting applications for the position of Administrative Assistant II in the Administration Department.
Located in the central Aleutian Islands, Unalaska, Alaska is a multicultural coastal community of approximately 4,200 full time residents and is home to the number one commercial fishing port in the United States, the International Port of Dutch Harbor.
The following duties are not intended to serve as a comprehensive list of all duties performed by all employees in this classification. Shown are duties intended to provide a representative summary.
GENERAL DESCRIPTION: This administrative position reports to the Assistant City Manager and provides a full range of support for the Department of Administration which includes city management, HR and Risk Management.
EXAMPLE OF WORK: Serves as the Departmental Receptionist. Provides information and assistance to employees, vendors, consultants, various agencies, elected officials and the public. Provides administrative support for the Department of Administration such as filing correspondence and scheduling. Prepares travel arrangements for Department of Administration staff, candidates and employees traveling for workers’ compensation purposes, and other special situations. Performs data entry and processing; manages and maintains files; maintains reference materials, handbooks and record-keeping for the department. Manages departmental supplies, supply inventory, and supply orders. Maintains vehicle keys and sign in/out records. Maintenance of Administration’s home page on City website. Provides coverage and support for the Specialists and Administrative Coordinator when absent and/or as workload requires. Enters data into HRIS, i.e. applications, leave requests, and requisitions. Assists with employee recognition programs by ordering, creating, and distributing employee anniversary and award certificates, pins, and plaques. Participates in research and other projects as required.
KNOWLEDGE, SKILLS & ABILITIES: High level of integrity and professionalism. Ability to manage multiple tasks and meet deadlines with frequent interruptions and efficiently respond to a wide variety of requests and demands. Intermediate knowledge of Microsoft office products. Strong communication skills (written and verbal). Ability to maintain confidentiality and security. Ability to follow verbal and written instructions and problem solve. Ability to work independently, completing routine and non-routine assignments. Strong organizational skills. Excellent interpersonal skills and maintain professional working relationships with departments. Attention to detail. Be an effective team player.
EDUCATION & EXPERIENCE:
- High school diploma or GED equivalent
- Two years administrative work experience to include human resources support; previous public sector work experience preferred
LICENSES & SPECIAL REQUIREMENTS:
- Must be at least 18 years of age
- If any certification required, must have them active and remain current for the duration of employment
- Required to have, or be able to obtain, an Alaska Driver’s License within 90 days of hire
- Ability to pass all required pre-employment testing i.e. Criminal background and History and future periodic random drug testing
- Must be eligible to work in the US; requirements by Federal Law if hired must complete employment eligibility verification form (I-9)
