POSITION: ADMINISTRATIVE ASSISTANT I, II
POSITION HIRING RANGE: Level I $25.39 - $27.92/hr
Level II $36.30 - $39.92/hr
The City of Unalaska is accepting applications for the Administrative Assistant position in the Department of Administration (Level I or II, depending on experience). Located in the central Aleutian Islands, Unalaska, Alaska, is a multicultural coastal community with approximately 4,250 full-time residents. It is home to the number one commercial fishing port in the United States, the International Port of Dutch Harbor.
The following duties are not intended to serve as a comprehensive list of all duties performed by employees in this classification. The duties shown are designed to provide a representative summary.
GENERAL DESCRIPTION: This administrative position reports to the Deputy City Manager and provides a full range of support for the Department of Administration, which includes City Management, Human Resources, and Risk Management.
EXAMPLE OF WORK: This position functions as the Departmental Receptionist, providing essential information and assistance to a wide range of individuals, including employees, vendors, government agencies, elected officials, and the general public. The role involves providing significant administrative support to the Department of Administration, including tasks such as managing files, scheduling appointments, and coordinating travel arrangements. Responsibilities include data entry, maintaining departmental records and reference materials, processing payment authorizations, overseeing all aspects of office supplies, and updating the Administration section of the City website. This position offers vital support to HR and Risk Management, particularly with HRIS data entry for job postings and applications, work orders, and assistance related to the city housing. Additionally, the position contributes to employee recognition initiatives and participates in various research projects as required.
KNOWLEDGE, SKILLS & ABILITIES: The ideal candidate for this role will possess a high level of integrity and professionalism, coupled with strong organizational, interpersonal, and communication skills. This position requires the ability to multitask under pressure, meet deadlines, and effectively problem-solve while maintaining confidentiality and attention to detail. Proficiency in Microsoft Office and the ability to work both independently and collaboratively as an effective team player are essential.
EDUCATION & EXPERIENCE:
• A minimum high school diploma/GED
• At least one year of administrative support experience is required for Level I position, and two years for Level II
• Proficient with Microsoft Office Suite and computer software consistent with this position
• Prior experience working in the public sector is preferred
LICENSES & SPECIAL REQUIREMENTS:
• Must have, or be able to obtain, an Alaska Driver’s License within 90 days of hire
• Ability to pass all required pre-employment testing, i.e., criminal background, history, and drug testing
• Must be eligible to work in the US; required under Federal Law, if hired, must complete an employment eligibility verification form (I-9)
